Executive Assistant

Job Position: Executive Assistant

DEPARTMENT: FRONT OFFICE

Wages: Exempt | Employment Status: Full-time | Reports to VP of Business Development

The Executive Assistant is responsible for providing high-level administrative support by conducting research, prioritizing needs, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Enhances the senior leadership and business development team’s effectiveness by providing information management support.

Duties and Responsibilities

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering and/or directing inquiries and appropriately handling disputes.
  • Maintains the appointment schedule by assisting in the planning and scheduling meetings, conferences, teleconferences.
  • Coordinate travel arrangements for team members including flight, hotel, and rental car reservations by working with an outside partner. Update and maintain traveler’s calendar with travel information.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Assists in the compilation and distribution of key performance indicators, dashboards, and other weekly, monthly, quarterly internal and client-facing reports as requested.
  • Assists in the recording and processing of customer purchase orders (POs) and customer quotes.
  • Provides support in the planning and execution of on-site client visits by scheduling catering and/or off-site reservations, document preparation, and pertinent internal communication.
  • Develop constructive and cooperative working relationships with others.
  • Identify, present, document, and implement improvements in operational workflows and/or processes to create efficiency and effectiveness.
  • Assists in routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications for team members.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Summarizes executive summary of notes and summaries during Sr. Management meetings, and compiles ISO documentation of such meetings with key objectives.
  • Perform content update to the Omaha Steel corporate website
  • Perform other duties as assigned

Skills and Specifications

  • Must have strong character
  • Ability to exchange information clearly, concisely, and timely
  • Excellent written and communication skills
  • Ability to prioritize and work on multiple tasks with minimum supervision. Must have strong organizational skills
  • Advanced computer skills and knowledge. Experienced in Microsoft Office Skills, including but not limited to Excel, Word, PowerPoint, and Outlook. Must have familiarity with CRM systems.

Education and Qualifications

  • High School Diploma Required
  • College Degree or related experience preferred
  • 1 to 3 years administrative experience a must
  • Must have reliable attendance, willing to work flexible hours, & work well with others
  • Must perform other duties as assigned
