Accounts Payable / Payroll

Job Position: Accounts Payable / Payroll

DEPARTMENT: ACCOUNTING

Wages: Non-Exempt | Employment Status: Full-time | Reports to Controller

Process and verify the accuracy of invoices for payment.  Pay invoices.  Calculate and process hourly payroll.  Work on weekly and monthly reports.

Duties, Responsibilities, and Skills

  • Responsible for accounts payable – coding, entry, and controls.  Coordinate with other personnel to ensure invoices are being processed correctly and in compliance with the purchasing policy
  • Maintain vendor address, W-9 information, and payment terms
  • Issue external sales representative commission checks as required
  • Prepare 1099’s at year-end and distribute
  • Keep purchase order control, maintain receiving documentation and invoices.  Verify data by matching to receiving documentation
  • Provide vendor payment selection report to Controller for approval
  • Run checks as required for signature
  • Tie out Accounts Payable at month-end
  • Assist with year-end audit.  Pull A/P invoices and other records per auditor request
  • Complete daily payroll edits
  • Complete employee reimbursements
  • Perform any and all other job-related tasks as assigned
  • Batch invoices to be entered into Global Shop.
  • Weekly, run payables report, select invoices to be paid, print out checks and mail.
  • Print out time sheets, update hourly vacations, deductions, and garnishments.
  • Enter all information in ADP and transmit the report.  Arrange checks the following day.
  • Update garnishments, hourly insurance, hourly rates and payroll distribution reports
  • Occasionally write manual checks for payroll or payables.
  • Processing Payables-Reconciling Invoices & Statements in a timely manner
  • Processing Hourly Payroll Group- Biweekly
  • Verifying remittances such as Garnishments, Child Support, Health & Human Services Verifications, Unemployment Claims, Etc. –keeping them up to date in ADP to ensure proper payment

Qualifications and Requirements

  • High School degree or equivalent with payables and payroll experience
  • An undergraduate degree or equivalent (desired but optional)
  • Must be able to read and write in English
  • Must be able to multitask
  • Must be a good communicator
  • Must possess good writing skills.
  • Able to follow instructions and complete assigned tasks in an unsupervised manner
  • Must have reliable attendance, willing to work flexible hours, & work well with others
  • Must perform other duties as assigned
  • Proficient with 10 key calculator
